  • Ask for packing marks that match the line-item schedule and shipment documents.

Give the receiving team a short, usable checklist

Receiving is the point to compare the shipment with the order and identify visible issues before equipment is put into service. Keep the check focused on traceability and condition:

  • Match packing marks and quantities to the line-item schedule.
  • Verify that adjustment and interface components listed on the order are present.
  • Look for transport damage, bent members, damaged threads, missing pins, or compromised protective finishes.
  • Quarantine discrepant material and record the package mark, photographs, and the relevant order line.
  • Release material for use only through the project’s inspection and temporary-works process.

Turn the brief into a cleaner handover

A strong purchase brief links the approved design, the order schedule, the packing record, and the receiving check. It gives the supply team a clear scope while leaving structural decisions with the responsible project professionals.
