A simple evidence index gives commercial teams a cleaner handover: it identifies what was requested, what the supplier has confirmed, and what must remain with the competent parties responsible for design, erection, inspection, and release.
Start with the boundary between supply and project decisions
A formwork shoring system is not a single interchangeable item. A supplier can help identify available product families, prepare a commercial offer, and respond to documented product questions. The project’s appointed designers and competent site personnel must determine the temporary-works arrangement, loading assumptions, erection sequence, inspection requirements, and authorization to proceed.
Writing that boundary at the top of an enquiry prevents a common failure of communication: treating an offer as if it were an approved site method. It also gives the supplier a practical way to flag missing information instead of guessing.
Use one index instead of a scattered document trail

The point is traceability, not paperwork volume. If a row cannot be tied to a source, mark it as unresolved. That approach is more useful than converting an assumption into a specification.
Separate component identity from configuration approval
Component names are frequently shortened or used differently across regions and teams.
