  • A buyer-controlled purchase-order reference and the current revision of the item schedule.

Build packages around function, not only material type

A tube bundle and a coupler carton can both be steel products, yet they are not interchangeable stock. Grouping labels by practical function makes receiving and later issue clearer. Avoid solving a label mismatch by assuming that similar-looking couplers are equivalent. Ask for the item reference, intended function, and agreed specification to be confirmed in writing. If the exception affects a scaffold arrangement, escalate it through the project’s technical and safety process rather than treating a supplier reply as permission to use the item.

Close the review with a repeatable release record

Once receiving is complete, retain the accepted packing list, package-mark examples, exception log, and final correspondence with the order file. For the next shipment, provide the accepted identification pattern with the reorder request. That gives both parties a practical reference for repeat packing without pretending that every future project has the same technical requirements.
